Photography Safeguarding Summary & Code of Conduct

Our Commitment

Clapham Netball Club and SW11photos share responsibility for ensuring that all photography and filming are conducted safely, respectfully, and in accordance with NSPCC CPSU and Sport England guidance. Both parties maintain policies that clearly define consent, secure storage, appropriate image use, and procedures for raising or resolving concerns.

Our goal is to capture the excitement and pride of grassroots sport while ensuring that every image is taken, stored, and shared safely and respectfully.

1. Purpose of Photography

We take photos and videos to:

  • Celebrate sporting achievements and participation
  • Support clubs, teams, and event organisers in promoting local sport
  • Provide parents and guardians with the opportunity to view and purchase professional-quality images

We only photograph in public sporting environments and never in areas where there is an expectation of privacy.

2. Consent

  • We obtain informed consent from parents/guardians (and from children, where appropriate) before taking or publishing identifiable images.
  • Consent includes information on how images may be used (website, social media, print).
  • Consent can be withdrawn at any time by contacting Clapham Netball Club.
  • Where a participant or parent has opted out, we take all reasonable steps to ensure they are not photographed or published.

3. Safe & Respectful Photography

Our photographers agree to:

  • Take images that are appropriate, dignified, and focused on sporting activity.
  • Avoid images that are potentially intrusive, inappropriate, or that highlight body parts unnecessarily.
  • Never photograph or film in changing rooms, toilets, or similar private spaces.
  • Avoid including identifying information (full names, schools, contact details) in image metadata, captions, or filenames.
  • Use discretion when photographing mixed-age or inclusive sessions.

4. Storage & Security

  • All digital images are stored in password-protected systems with access limited to authorised personnel.
  • Files are backed up securely and retained only as long as necessary for legitimate use.
  • Images are deleted or archived responsibly when no longer required.

5. Publication & Sharing

  • Only approved, appropriately consented images are shared publicly.
  • Public galleries may be password-protected for parents and guardians.
  • We ask parents and spectators to be considerate when sharing images on social media, and to avoid posting photos of children other than their own without permission.
  • No commercial use or onward sale occurs without explicit consent.

6. Working with Clubs & Events

We partner with local clubs to ensure:

  • Our activity aligns with their safeguarding policy.
  • Club safeguarding officers are informed in advance when we photograph events.
  • Clear signage or announcements notify participants and spectators that official photography is taking place.
  • Any concerns are reported immediately to the club’s safeguarding lead.

7. Reporting Concerns

If you ever have a concern about an image or the behaviour of a photographer:

  • Contact the Clapham Netball Club Safeguarding Lead at claphamnc@gmail.com
  • We will investigate promptly and, if appropriate, escalate to the relevant Club Welfare Officer, NSPCC Helpline (0808 800 5000), or local authority safeguarding team.

8. Review & Compliance

  • This code is reviewed annually or following any changes in safeguarding guidance.
  • All photographers working with Clapham Netball Club are required to read, sign, and adhere to this Code of Conduct.
  • Non-compliance may result in removal of accreditation and referral to relevant authorities if necessary.
